The challenge
An Australian state government department needed a vendor management system (VMS) that could provide more cost savings than were possible with its existing VMS. It also needed to reduce administrative errors and comply with Procure IT 3.2 contracting standards, establishing stricter data security and privacy requirements. The new standards also included changes to intellectual property principles and escrow and audit provisions in the acquisition of information and communications technology products and services.
The client was also dissatisfied with the level of service provided by their incumbent VMS provider and was not convinced that the provider’s VMS roadmap would deliver the innovations required to keep pace with advancements in VMS technology and changes in policy and governance standards. As a result, they turned to Beeline.

The background
The transition from the previous VMS to Beeline’s solution provided more costs savings, a higher level of customer service, and a more intuitive user interface.
The solution
Beeline successfully implemented a VMS that met or exceeded all of the client’s stated objectives for the project. The VMS, which went live on the agreed-upon time schedule, delivers greater visibility of both contingent labour and statement of work (SOW)—based contractors. This reduces security risks and improves compliance through the proper classification of all workers. The combination of contingent staffing and services procurement in one solution also establishes the VMS as a single source of truth for all data involving the client’s extended workforce.
The VMS complies with the government’s procurement blueprint for the contingent workforce scheme and provides enhanced analysis and reporting, both contextually, at the point of decision, and through the Beeline VMS reporting suite. With its cleaner and more intuitive user interface and improved process automation, Beeline VMS also enhances user experience, which has helped increase user satisfaction and program adoption.
The result
The transition from the previous VMS to Beeline’s solution was so smooth and trouble-free that the client’s senior Human Resources stakeholder called at the end of the first week after “go-live” to confirm that the system was turned on. The stakeholder stated that there had been no issues or complaints, in stark contrast to previous technology implementations the client had experienced.
Other user comments have included appreciation of the cleaner, more intuitive user interface, the elimination of superfluous emails generated by the previous VMS, and the ease of use and functionality of the personalized hiring manager dashboards, report gallery reporting templates, and Report Builder report customization tool.
The client’s managed services provider (MSP), which also operated the previous VMS, has expressed its appreciation for Beeline VMS’s configurability and called our willingness to accommodate specific client business requirements an “eye opener” and a “standout experience.” The client’s contingent workforce spend currently managed within Beeline VMS is approximately AU$160 million.
