The challenge

Bank of Montreal (BMO) is a leading North American bank that provides personal and commercial banking, global markets and investment services to more than 12 million customers.

In addition to its full-time staff, BMO depends on an external workforce of contingent workers, consultants, and outsourced service providers. While the company has managed contingent staffing since 2012 using Beeline’s extended workforce platform, other external labor was onboarded and managed in disparate systems with inconsistent reporting of non-employee resources.

Previous situation

  • Tens of thousands of manual transactions per year
  • Manual reconciliations requiring more than 20 hours per month
  • Lack of real-time visibility of BMO’s external workforce

Besides reducing data processing errors and increasing efficiency for hiring and program managers, the improved data quality facilitates better governance and oversight of non-employee data.

The solution

In 2022, BMO implemented Beeline’s resource tracking system as a single source of truth for all external labor. Providing a standard front door for BMO’s hiring managers, the system captures all external labor engagements with an automated process for on-/off-boarding, background screening, reference, and credential checks, time capture, asset management, and invoice payment.

By replacing processes the client had formerly managed using their human resources information system (HRIS), Beeline provides real-time headcount tracking with customizable reports available on demand.

The results

Automating the onboarding and tracking of all categories of BMO’s external workforce, Beeline’s resource tracking:

  • Improves end-user experience for hiring and program managers
  • Reduces manual, time-intensive work of back-end support staff for external labor reporting
  • Improves data quality to facilitate better workforce governance and oversight
  • Delivers data-driven insights to support total talent management

By reporting all aspects of the program including headcount, spend, savings, and tenure, Beeline’s system provides better business intelligence. Effective use of this data allows BMO’s contingent workforce program office to drive better workforce planning and management.
