The challenge
This financial technology company and payments industry leader develops innovative products and solutions to make financial systems work better. As a result, the global economy is safer, more efficient, more inclusive, and more transparent for consumers, businesses, and governments around the world.
The company recognized the value of its Beeline vendor management system (VMS) in managing its US contingent workforce and wanted to extend this capability to its operations in 22 European countries. While they originally envisioned this project as an expansion using a nearly exact copy of their US operation, it soon became clear that each country’s unique requirements necessitated a VMS implementation with a different set of configurations.
Fortunately, they were working with Beeline and the highly configurable Beeline Enterprise VMS solution.
Beeline crafted an invoicing solution that allowed for variations of currencies, tax laws, and other regional prerequisites by country.
The solution
The project began with immersion sessions involving the client and their managed service provider (MSP) to gather the extensive requirements for the European implementation. Even with substantial fact-gathering, new requirements were raised throughout the implementation, and Beeline was able to accommodate them.
For example, the original request was for invoicing capabilities in only the three largest countries. However, the client later determined a need to capture financial information in all 22 countries in which they operate. As a result, Beeline crafted a solution that made it possible to invoice in each country, taking into account differences in currencies, tax laws, and other local requirements.
It was also agreed that launching on January 1 was essential. To adjust for holiday schedules throughout Europe, Beeline planned a “soft launch” two weeks in advance. This allowed for addressing any last-minute problems before the holiday season and the end of the year.
The results
- For the first time, the client has a common platform for managing its non-employee workforce using the same workflows across Europe. Beeline VMS lets them easily adjust their workforce on a country-by-country basis as they shift operations across borders to support their global strategy.
- To familiarize the client’s managers with the system’s capabilities, Beeline’s relationship managers supported training activities and adoption of the new processes in each country. Working jointly with the client and their MSP, Beeline established a support program to balance global strategy with the client’s needs in each local market. To support their growth strategy, the client is exploring options to expand the VMS into other EMEA countries and Asia.
