The challenge

This client is one of the world’s leading asset management and financial services companies. Millions of people rely on them for clarity, expert guidance, and positive return on their investments. In 2012, as they sought to expand their contingent workforce program into countries beyond the US and UK, the client realized their existing vendor management system (VMS) was not equipped to accommodate the array of laws, tax regulations, and other compliance issues they encountered on a country, regional, and global scale.

Among their main concerns were:

  • Taxing accuracy and visibility: The client needed to ensure that tax collection was tailored for each individual country and in accordance with local guidelines. They needed a VMS that could accurately capture sales tax information and per diem information and provide for compliant fiscal accounting. Without proper tax procedures and visibility in place, the client faced expensive fines and potential litigation.
  • Reporting challenges and limitations: The client needed insight into its workforce on a global level. The existing VMS was running seven instances globally, making enterprise reporting unachievable and continuity non-existent.
  • Inefficiencies: The existing VMS operated on several different platforms in multiple countries.

The client wanted one single platform for managing its global contingent workforce. Through a competitive procurement process, Beeline was selected to provide a single, integrated, global, and expertly localized solution.

The solution

Beeline executed a flawless implementation and transition, transferring the program from the existing VMS to Beeline. To ensure the success of Beeline and buy-in across hundreds of stakeholders in multiple countries, the implementation was conducted collaboratively by our engagement team, the designated managed service provider (MSP), and the client. Our international product management team ensured that Beeline was compliant with all local market regulations and that the solution was tailored to the client’s specific business and statutory requirements on a country-defined basis.

To maximize the value of Beeline and seamless synchronicity with other systems, we integrated Beeline with the client’s existing enterprise systems, SAP and Oracle, for real-time and continuous data exchange.

The client’s long-term goal is to track all non-full-time employees in Beeline, which will serve as the organization’s system of record for its entire non-employee workforce worldwide which is estimated at 10,000 non-employees in 36 countries.

The result

Through the years we have expanded the client’s contingent workforce program to include:

  • Services Procurement for sourcing and managing SOW-based projects globally
    - Phased implementation of Services Procurement beginning with the US and EMEA in 2019, followed by APAC in 2021.
  • Resource Tracking to ensure workforce visibility globally
    - Enabled client to gather non-employee information not previously available, with the intention of appropriately transitioning those workers to Contingent Staffing or Services Procurement, as appropriate, to ensure that all resources are properly classified and accounted for.
  • Regional VMS for management of smaller-headcount countries in the Asia-Pacific region
  • Direct Sourcing in the US to reduce time-to-fill, increase quality, and reduce cost of talent
