Global financial services company adds service worker tracking capability to VMS

The challenge
This client, a multinational banking and financial services company, has long recognized the value of using Beeline’s vendor management system (VMS) to manage its contingent staffing. They value knowing which non-employees have access to specific facilities, networks, and company data. They also need to know which non-employees are compliant with organizational policies and government regulations, and which suppliers can provide the right non-employee resources most effectively to support the company’s flexible workforce needs.
A few years ago, the client wanted to extend this workforce tracking capability to thousands of service workers engaged in various capacities in 49 countries around the globe who had not been sourced via the VMS. Better visibility into this information would help the company make smarter business decisions and move resources as necessary from business to business or even from country to country.
Because of Beeline VMS infrastructure, the client was able to track their 30,000 workers globally within all 49 countries.
The solution
Listening to the client’s requirements, we determined that the best way forward was to implement our Resource Tracking solution within the client’s VMS in three phases, beginning with its US operations and ending with the system fully operational in all 49 countries.
Because Beeline VMS is highly configurable, we were able to give the client the advanced capabilities they wanted. This includes a resource matching feature that allows them to track workers as they move from one procurement type to another, from one business to another, or from one country to another. Tracking workers in such a way is a vital requirement to support their global business.
In the process, we also provided the ability for each service worker record to be created and managed in the system. Previously the initial creation and tracking of all workers was the responsibility of the client managers. With this new functionality, this work can now be performed by suppliers, who have detailed records of their employees. Suppliers now can set up each service worker record for the client manager’s review and approval, vastly reducing the client’s data entry time and the possibility of errors.
The results
- The implementation of the new Resource Tracking solution was carried out in three phases. In just over a year, the first two phases were successfully completed, extending coverage to 26 countries. The third phase, which added another 23 countries to the network, was finalized before the end of the subsequent year. This phase also established the infrastructure necessary for tracking their 30,000 workers on a global scale.
- Now the client can see, as never before, precisely how many service workers they have worldwide and what jobs they fill, along with their qualifications, certifications, security access, length of assignment, and other essential information.
- With global information on their service workers, the client can more confidently plan sourcing initiatives, prepare for contract discussions, and implement strategic change management activities.
